This Privacy Policy applies to:
- Employers and recruiters who create accounts, post jobs, purchase services, use employer tools, or engage our shortlisting or screening services
- Candidates and job seekers who browse roles, create profiles, use Career Studio, apply for jobs, receive job alerts, or otherwise interact with our candidate services
- Visitors to our websites and online properties
- Referees and representatives whose details are provided to us in connection with recruitment activity
2. The personal information we collect
The personal information we collect depends on how you interact with us.
From Employers
We may collect:
- name, business name, ABN, ACN or other business registration details
- email address, phone number, postal address, billing address, and role/title
- account credentials, including hashed passwords or third-party sign-in identifiers
- verification information we may request to confirm identity, business legitimacy, or authority to use our Services
- job advertisement content, role briefs, screening criteria, company profile content, and hiring preferences
- billing and transaction information, including plan, invoices, cardholder name, and limited payment metadata such as the last four digits of a card where provided by our payment processor
- correspondence, support requests, and communications with our team
From Candidates
We may collect:
- name, email address, phone number, suburb, city, state, postcode, and other location information
- account and profile information
- information contained in resumes, CVs, cover letters, portfolios, application forms, screening responses, writing samples, and other materials you submit
- employment history, education history, skills, licences, work rights, salary expectations, preferences, references, and other recruitment-related information you choose to provide
- information about job applications and application outcomes
- saved jobs, alert preferences, and job search behaviour within our Services
- referee details where you provide them or where requested as part of a screening or shortlisting process
Career Studio data
If you use Career Studio or related AI-assisted candidate tools, we may collect:
- prompts, instructions, role descriptions, existing CV text, cover letter text, answers, notes, and uploaded content
- AI-generated outputs such as draft CVs, tailored resumes, cover letters, summaries, bullet points, and other suggested materials
- editing actions, saves, and usage information relating to Career Studio features
Shortlisting and screening data
Where we provide shortlisting or screening services, we may collect:
- structured screening notes prepared by our team
- role-fit assessments, ranking inputs, and shortlist data
- information provided by an Employer about a Candidate, including CVs or applications forwarded to us from other channels such as SEEK, Indeed, referrals, or the Employer's own recruitment process
We do not audio-record or video-record screening conversations unless we separately state this and obtain any consent required by law. Where screening calls occur, our team may take written notes.
Automatically collected information
When you use our Services, we may automatically collect:
- IP address
- browser type
- operating system
- device type and identifiers
- pages viewed
- links clicked
- referring URLs
- timestamps
- session and log data
- cookie and similar technology data
From third parties
We may receive information from third parties, including:
- Google or other identity providers when you sign in using third-party authentication
- payment providers such as Stripe
- analytics, fraud prevention, and security providers
- Employers who forward Candidate information to us in connection with recruitment services
- service providers who help us operate the Services
Sensitive information
We do not generally seek to collect sensitive information as defined in the Privacy Act, such as information about health, racial or ethnic origin, religious beliefs, political opinions, criminal record, or biometric data. However, sensitive information may be included in resumes, applications, screening responses, or Career Studio inputs that you choose to submit. If that occurs, we will handle it in accordance with this Privacy Policy and the Privacy Act, and generally only for the purposes for which it was provided.
3. How we collect personal information
We collect personal information:
- directly from you when you register, create an account, create a profile, post a job, use Career Studio, apply for a role, contact support, subscribe to alerts, purchase services, or otherwise interact with us
- automatically through cookies, analytics tools, server logs, and similar technologies
- from third parties, as described above
Where we collect Candidate information from an Employer, we rely on the Employer to have authority to disclose that information to us and to have provided any notice or obtained any consent required by law.
If you provide personal information about another person, you should ensure you are authorised to do so and that the person has been made aware of this Privacy Policy.
4. Why we collect, use and disclose personal information
We collect, use and disclose personal information to:
- provide, operate, maintain and improve the Services
- create and manage accounts and profiles
- host and publish job advertisements
- process job applications
- provide employer services, including job posting, account administration, billing, and shortlisting support
- provide candidate services, including job alerts, saved jobs, and Career Studio features
- generate, tailor, improve, store and re-use candidate documents and outputs where requested by the user
- match Candidates to roles and assist Employers with recruitment workflows
- rank, summarise, screen and shortlist Candidates using AI-assisted and human-assisted processes
- authenticate users and protect account security
- process payments, issue invoices, administer subscriptions, and manage refunds
- communicate with you about your account, transactions, applications, support issues, product updates, and service messages
- send marketing communications where permitted by law
- investigate incidents, misuse, fraud, or suspected breaches of our terms
- comply with legal obligations
- establish, exercise or defend legal claims
- perform analytics, quality assurance, reporting, product research, and service improvement using aggregated or de-identified information where appropriate
5. AI-assisted features and automated processing
Some parts of our Services use AI-assisted tools.
Career Studio
Career Studio uses AI-assisted tools to help Candidates generate, tailor, improve or reformat application materials, such as resumes, CVs, cover letters, summaries, and role-specific drafts.
To provide these features, content you submit may be processed by third-party AI providers, currently including OpenAI and Google Gemini, as part of delivering the requested functionality. This may include prompts, job descriptions, CV text, draft content, and related instructions. If you include identifiers such as your name, email address, or phone number in submitted content, those identifiers may also be transmitted for processing as part of the request.
Where feasible, we seek to minimise unnecessary identifiers and send only what is reasonably necessary to provide the feature.
Employer screening and shortlisting
Our employer-facing tools and shortlisting services may use AI-assisted tools to help rank Candidates against a role brief, generate summaries, and assist our team in assessing relevance. These tools are used to support, not replace, human review.
We do not make solely automated decisions that have a legal or similarly significant effect on Candidates. Shortlisting outputs are used as an input to human review, and final hiring decisions are made by the Employer. This approach aligns with the APP framework around use and disclosure of personal information.
Your choices
If you are a Candidate, you may contact us to:
- ask how AI was used in relation to your application or Career Studio output
- request human review of a screening outcome generated through our shortlisting process
- raise concerns about our use of AI-assisted tools
- stop using Career Studio AI features
6. Disclosure of personal information
We may disclose personal information to:
Employers
If you apply for a role through our Services, or are presented to an Employer through our shortlisting service, your application information may be disclosed to that Employer. This may include your CV, cover letter, screening responses, screening notes, shortlist information, and any other information you provide in connection with the role.
Once disclosed to an Employer, that Employer becomes a separate handler of your personal information and is responsible for how it stores, uses, secures and discloses that information in its own systems, including internal databases, applicant tracking systems, downloaded copies, shared inboxes, and third-party tools. We do not control the Employer's handling of personal information once disclosed to it.
If you want information corrected or deleted from an Employer's own systems, you will usually need to contact that Employer directly. We can, where appropriate, help identify the relevant Employer.
Service providers acting on our behalf
We may disclose personal information to service providers who help us operate the Services, including providers of:
- hosting and infrastructure, such as Supabase and Vercel
- payment processing, such as Stripe
- authentication and sign-in services
- customer support and transactional messaging
- analytics, telemetry, error tracking and fraud prevention
- AI and large language model services, including OpenAI and Google Gemini
- email delivery and related communications services
These providers are engaged to provide services to us and are expected to protect personal information appropriately.
Other disclosures
We may also disclose personal information:
- to professional advisers such as lawyers, accountants, auditors and insurers
- to regulators, law enforcement bodies, courts, tribunals, or government agencies where required or authorised by law
- to a purchaser, investor, successor or related party in connection with a business transaction such as a merger, acquisition, restructuring, asset sale or insolvency event
- where reasonably necessary to investigate security incidents, fraud, misuse, or breaches of our terms
We do not sell personal information.
7. Overseas disclosure
Some of our service providers store or process personal information outside Australia, including in the United States and the European Union. This may occur where our technology, infrastructure, analytics, communications, security, payment, or AI providers operate internationally.
Before disclosing personal information to an overseas recipient, we take reasonable steps to ensure the recipient handles the information in a manner consistent with the APPs, typically through contractual, technical, and vendor-assessment safeguards. Under APP 8, an Australian entity that discloses personal information overseas may remain accountable in certain circumstances for how that overseas recipient handles the information.

We use cookies and similar technologies to operate the Services, remember preferences, improve performance, understand usage, protect security, and support marketing.
These may include:
- strictly necessary cookies for sign-in, sessions, fraud prevention and security
- analytics cookies to understand aggregate product usage
- advertising or remarketing technologies where we run paid campaigns
You can control cookies through your browser settings and, where implemented, our consent tools. Disabling cookies may affect functionality.
9. Data security
We take reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification, and disclosure. These steps may include:

- role-based access controls

- vendor access controls
- audit logging
- monitoring and security review processes
No method of storage or transmission is completely secure. We cannot guarantee absolute security.
If an eligible data breach occurs, we will respond in accordance with applicable legal requirements, including the Notifiable Data Breaches scheme where required.
10. Retention of personal information
We retain personal information only for as long as reasonably necessary for the purposes described in this Privacy Policy, unless a longer period is required or reasonably necessary for legal, tax, accounting, fraud prevention, security, dispute resolution, or enforcement purposes.
Typical retention periods may include:
- Employer account and billing records: for the duration of the account and up to 7 years afterwards
- Job advertisements and related employer records: up to 7 years where reasonably required for business, tax, dispute or compliance purposes
- Candidate applications: generally up to 24 months after the application, unless earlier deletion is requested and we are able to comply
- Career Studio content and outputs: generally for as long as needed to provide the feature, maintain the account, and support re-use by the user, and then for a reasonable period afterwards unless deleted earlier
- Shortlisting briefs, screening notes and shortlist outputs: generally up to 24 months from delivery
- Support and complaint correspondence: up to 7 years where reasonably necessary
Where personal information is no longer required, and we are not legally required or otherwise reasonably justified in retaining it, we will take reasonable steps to delete or de-identify it.
11. Direct marketing
We may send marketing communications about our products, services, features, promotions, content, or hiring-related updates where permitted by law.
You can opt out of marketing at any time by:
- clicking the unsubscribe link in an email
- replying STOP to a marketing SMS, where applicable
- adjusting your account preferences, where available
- contacting us using the details below
Service messages relating to your account, billing, security, applications, or transactions may still be sent even if you opt out of marketing. Australian spam rules generally require commercial electronic messages to include a functional unsubscribe option.
12. Access, correction and other rights
Subject to the Privacy Act and any lawful exceptions, you may request that we:
- provide access to personal information we hold about you
- correct personal information that is inaccurate, out of date, incomplete, irrelevant, or misleading
- delete personal information we no longer need and are not required to retain
- explain, at a general level, how AI-assisted processing was used in relation to Career Studio or our shortlisting workflows
We may need to verify your identity before acting on a request. We aim to respond within 30 days.
13. Children
Our Services are not directed to children under 16, and we do not knowingly collect personal information from children under 16 without appropriate authority or consent. If you believe we hold such information improperly, please contact us.
